What is OrcheStream?

OrcheStream automatically launches live content on room devices at the right moment — no manual intervention required. Connect a streaming provider and a room device provider, then create an orchestration for a scheduled event: OrcheStream monitors the schedule and opens the content on every assigned device the moment it goes live.

What's the difference between an orchestration and a target?

An orchestration pairs a scheduled event with the room devices assigned to show it — it's what you create and manage from the Orchestrations page. A target is the underlying per-device assignment; an orchestration with three devices is made up of three targets.

You'll mostly work at the orchestration level. Target-level detail — adding, removing, or relaunching an individual device — shows up in places like the Edit Targets dialog and the stream monitor.

How does the free trial work?

A 15-day free trial is started automatically when your account is provisioned. The trial supports one device and begins the moment you complete onboarding. No credit card is required. After the trial period, contact support@adeptified.com to upgrade to a paid tier.

What platforms are supported?

OrcheStream currently supports the following platforms:

  • Kaltura — scheduled live webcast streaming
  • Webex — conference room devices (Board and Room series)

Support for additional streaming providers and room device platforms is planned for future releases.

Getting Started #

How do I create an account?

Visit the OrcheStream website and click Get Started to begin your free 15-day trial. Enter your work email address and you'll receive a sign-in link. Your account and organization are created automatically on first sign-in — no credit card or manual setup required.

How do I add a provider?

Once signed in, go to Settings → Providers to connect the platforms OrcheStream will use. OrcheStream currently supports two providers:

  • Kaltura — connect your Kaltura account to enable live webcast playback.
  • Webex — connect your Webex organization to enable room device control.
How do I create my first orchestration?
  1. Ensure at least one streaming provider and one devices provider are connected.
  2. Schedule a live event/webcast in your streaming provider.
  3. In OrcheStream, go to Orchestrations and click Create New Orchestration.
  4. Choose the event from the list, then select one or more devices and click Create Orchestration.
  5. OrcheStream will monitor the event from this point on and launch it automatically on every assigned device when it goes live.

Providers #

Kaltura

Prerequisites

Before connecting Kaltura to OrcheStream, confirm the following are in place for your Kaltura account:

  • Webcasting or Events — your Kaltura account must have the Webcasting or Events module enabled. OrcheStream reads from these scheduled entry types. Contact your Kaltura account manager if these features are not available in your account.
  • Kaltura Player (V7) — if using Player playback type — you need a V7 (PlayKit) player configured for autoplay without mute. Older V2 players are not supported. You can verify the player version in the KMC under Studio → Player Studio. The player must have autoplay enabled and audio unmuted by default so the stream begins immediately when launched on a device.
  • KAF Application — if using KAF playback type — you need a provisioned Kaltura Application Framework (KAF) instance with an active embed application. KAF setup involves configuration specific to your organization's deployment. Contact support@adeptified.com for guidance on connecting a KAF-based setup.
How do I provision a Kaltura App Token?

OrcheStream uses Kaltura's App Token authentication flow, which is the recommended method for server-to-server API access. Here's how to create one:

  1. Log into the Kaltura developer console to add a new App Token: developer.kaltura.com → appToken → add.
  2. Set Hash Type to SHA256.
  3. Set Session Type to Admin.
  4. Set Session Privileges to disableentitlement,list:*.
  5. Optionally, set a Description — not required, but recommended. A name like OrcheStream appToken makes it easy to identify later.
  6. Click Execute.
  7. From the response, copy the partnerId, id, and token values — you will need all three during OrcheStream onboarding. Alternatively, you can copy the full JSON response object and paste it directly into the OrcheStream connect form.
Important: Store the appToken securely. While exposed tokens can be revoked and recreated, you risk downtime while you reconfigure a new token.
What is the difference between Kaltura Player and KAF?

OrcheStream supports two playback modes:

  • Kaltura Player — Uses the standard Kaltura JavaScript player (V7/PlayKit). This is the most common choice. When selecting your desired player, OrcheStream will check to ensure the correct settings are available for the chosen player and emit a warning if there is an issue.
  • KAF (Kaltura Application Framework) — Uses a KAF-hosted embed URL. You need the base URL of your KAF instance. Choose this if your organization uses Kaltura's KAF platform.

Webex

Prerequisites

Before connecting Webex to OrcheStream, confirm the following:

  • Control Hub Administrator access — connecting Webex requires a user with the Webex Control Hub Administrator role to authorize the integration.
  • Webex Room devices registered to Control Hub — you need at least one Webex Board or Room series device registered to your organization. Personal devices and software clients are not supported as playback targets.
  • WebEngine enabled — devices must have WebEngine Mode On. Devices on older firmware, or without WebEngine enabled, will appear as unsupported in the Device Controls panel.

OrcheStream also supports the ability to specify a custom devices tag to pre-filter the device selection list, as well as specifying a default volume to set on the device when launching a webcast event.

How do I enable WebEngine on a device?

WebEngine is the on-device browser that OrcheStream uses to display content on Webex Room devices. To enable it, see Webex Help.

Troubleshooting #

Why isn't the WebView launching on a device?

Check the following in order:

  1. Confirm WebEngine is enabled on the device in the Device Controls panel. A status of disabled means it needs to be enabled; unsupported means the device firmware is too old.
  2. Confirm the device is online (connection status: connected).
  3. Confirm the content is actually live. The target will only launch once the event is detected as active.
  4. Check that the event's scheduled start time is within 10 minutes in the past or future — targets more than 60 minutes past their scheduled start are marked stale and will not retry.
Why did the stream drop mid-broadcast?

If advanced monitoring is enabled for your account, OrcheStream polls each assigned device once a minute to confirm its WebView is still visible, and automatically relaunches it when Auto-relaunch is turned on for that device.

If advanced monitoring isn't enabled, you can still relaunch manually — open the stream monitor for the orchestration (Orchestrations → View Stream) and click Relaunch on the device. Contact support@adeptified.com to enable advanced monitoring for your account.

Why isn't a device appearing in my device list?

The device list pulls from the Webex Devices API and only returns roomdesk type devices. Check the following:

  • The device must be registered to the same Webex organization as your OrcheStream installation.
  • Personal (non-workspace) devices are not returned by the Devices API.
  • If the device firmware doesn't expose WebEngine.Mode, it appears as unsupported and won't be selectable for targets.

Billing & Licensing #

What are the license tiers?

License tiers control how many unique room devices can have active targets:

  • Free Trial — 1 device, 15 days
  • Foundation — up to 25 devices
  • Professional — up to 100 devices
  • Enterprise — up to 500 devices
  • Global — unlimited devices

My free trial has expired. What do I do?

Once your trial expires, new orchestrations cannot be created and the scheduler will skip your organization. Your existing configuration is preserved. Contact support@adeptified.com to upgrade to a paid tier, and service will resume immediately once your account is upgraded.
